Who It Applies To
All Township employees, contractors, and third parties using AI tools.
Key Rules
Approval Required: All AI tools must be reviewed and approved by the IT Department before use.
Restricted Use:
Do not use AI with sensitive data (HIPAA, CJIS, financial, legal) unless specifically authorized.
Do not share login credentials, API keys, or confidential data with AI systems.
Use only for assigned, approved tasks.
Strictly Prohibited
Real-time or covert biometric identification.
Emotion/sentiment analysis via AI (e.g., reading facial expressions).
Automated decisions without human oversight.
Social scoring or tracking based on personal traits.
Manipulating vulnerable groups.
Security & Privacy
Only authorized users may access approved AI tools.
Multi-factor authentication required.
AI tools must encrypt and secure all data.
Any suspected data breach must be reported immediately to IT and your supervisor.
Training
Mandatory AI awareness and security training provided by the Township.

Assume AI inputs/outputs for Township business are subject to public records requests unless legally exempt.

Exempt examples: HIPAA data, cybersecurity plans, legal communications.
Enforcement
